Position Summary:

Directs and administers the registration, scheduling, prior authorizations and check out functions for responsible areas. Develops and implements processes to ensure registration standards and regulatory requirements are met for all intake areas of the enterprise; serves as the internal consultant/subject matter expert in this regard. Understands third-party payer guidelines for admissions, discharges, and ambulatory billing and coding so the organization and intake staff remain in compliance. Coordinates activities with other departments to ensure patient satisfaction is enhanced and patient dissatisfaction issues are addressed and remediated.


Bachelors Related Field

Certified Healthcare Access Manager (CHAM) within two (years) of being in position. EPIC Prelude and ADT certifications within first year in position

Minimum of five (5) years management experience in a healthcare setting. Experience to include program development and staff supervision. Experience in a large, integrated health care system that includes physician practice and acute care hospital.

Ability to maintain composure in stressful situations and ability to prioritize multiple simultaneous tasks is a necessity. Patient Access experience helpful. Multitasking and re-prioritizing based upon organizational needs. Excellent written and verbal communication skills. Ability to collaborate with all levels in the organization. Proficient in Microsoft Office products including but not limited to: Excel, Word, Power Point, MICROSOFT Outlook and Skype.

Essential Functions:

  • Monitors employee performance and ensures timely communications for the purpose of goal setting, performance evaluations, wage increases and continued personnel actions.
  • Develops, analyzes, and manages capital and operating budget within agreed upon standards
  • Ensures smooth operation of all departmental functions according to approved policies and in accordance with all state and federal law and applicable accreditation standards.
  • Establishes and ensures that the overall objectives relating to the Carle Experience are achieved.
  • Provides leadership, vision, and management to assigned department(s). Sets departmental strategic direction and goals and develops appropriate tactical plans to meet them
  • Oversees the development, review, and revision of department policies and procedures.
  • Continuously streamlines processes/systems to achieve maximum efficiencies.
  • Ensure that all employees are properly oriented, trained, and that annual competencies, certifications, and licensure and education requirements are current.
  • Serves as the internal consultant / subject matter expert for all areas in the organization that perform intake functions.
  • Operates the departments in a cost-effective manner by monitoring man-hours, supply expenses, and volume. Ensures adequate staffing levels are maintained to provide good customer service.
  • Oversees department audits to identify billing errors. Provides continuous feedback to staff and management regarding audit outcomes.
  • Works closely with Health Information Systems (HIS), Patient Accounting (PA), Compliance, Inpatient Case Coordination (IMPCC) and Information Technology (IT) departments to optimize coding, billing and documentation efforts. Facilitates technological changes and analysis by working closely with IT to improve system processes.
  • Ensures appropriate auditing processes are in place and maintained to identify registration quality improvements. Develops new processes to enhance and streamline work related to registration, coding, billing, compliance, and regulatory standards.
  • Develops new processes and systems to assist patients with financial responsibilities and to optimize the organizations revenue & reimbursement.
  • Leads business process redesign activities related to the implementation of new products and or system enhancements.
  • Participates on various committees, work groups, and teams; promotes effective communication between departments and entities, acting as a liaison to facilitate information sharing, collaborative problem solving and adequate provision of support services; fosters and maintains collaborative relationships throughout the organization, and with external agencies.
  • Collaborates with senior management to define desired organizational goals and outcomes, fostering a culture of learning and partnering with key leaders to facilitate change.
