Description: Project Manager College of Liberal Arts & Sciences Office of Communications and Marketing University of Illinois at Urbana-Champaign The Project Manager within the LAS Office of Communications and Marketing is responsible for operationalizing and tracking projects, and measuring outcomes for the team's high-volume operation. The project manager translates marketing and communications plans, creative direction, and project deliverable needs into project scheduling. The project manager coordinates with team members to ensure that projects are completed on time. The project manager is also the point person for alumni mailing list management and for gathering data to help the team measure the impact of its work. To learn more about the University's commitment to diversity, please visit http://www.inclusiveillinois.illinois.edu DUTIES AND RESPONSIBILITIES Project management: Create processes and systems to manage the flow of work through the communications and marketing team. Operationalize projects, creating timelines and assigning tasks to team members. Assist the executive director with maintaining project priority and managing resource allocation. Monitor project progress, adjusting deadlines and communicating with team members as needed. Ensure team members consistently follow all appropriate processes and procedures to maintain efficiency, accurate job tracking, and timely completion of projects. Oversee project review process, managing changes and edits from all stakeholders. Communicate routine project updates and relevant delays or issues to necessary team members and project stakeholders. Anticipate and mitigate problems. Serve as the lead user of the team project management software. Process and track purchase orders and payments for projects. Maintain detailed, complete, and timely records. Measuring outcomes: Develop reporting tools to measure project outcomes. Use reporting tools to regularly gather data. Assist executive director with formatting outcomes data. Managing alumni mailing lists: Develop and manage alumni mailing communications plan, coordinating with the Office of Advancement and University of Illinois Foundation Oversee execution of tactics in this plan. Assist with ad-hoc mailing list requests from units across the college. QUALIFICATIONS Required: Bachelor's degree in marketing, advertising, communications, information science, business, or a related field. One year of professional experience in a combination of the following: demonstrated project management, or related experience; experience working with project management software, such as Basecamp. Preferred: Demonstrated success working in a high-paced, complex, team environment. Prior professional experience managing projects and/or working directly with graphic designers, writers, developers, and/or other marketing professionals. Experience with University of Illinois or higher education marketing. Experience with University of Illinois purchasing processes. Successful candidates will have: Familiarity with spreadsheets and data management. Ability to work independently and exercise good judgment. Strong customer service and interpersonal skills. Outstanding organizational skills and attention to detail. Must be proactive, able to prioritize, and adapt in an ever-changing environment. Proficient overall computer skills, including file organization and software skills such as Microsoft Office. Self-motivated to track progress, meet deadlines, and manage multiple projects concurrently. Strong verbal and written communication skills. Must be able to communicate with others clearly to achieve desired results. Ability to effectively delegate tasks and maintain positive relationships. SALARY AND APPOINTMENT INFORMATION This is a full-time civil service Program Coordinator position. The expected start date is as soon as possible after the closing date.
