Position Summary:


The Physician Contracting Specialist is responsible for coordinating with executive leadership, operational dyads, provider compensation, legal, professional services, recruitment services and physicians to guide physician contracts from new or change request through final signatures. Additionally, the Physician Contracting Specialist will maintain working lists with current status of contracts.

EXPERIENCE REQUIREMENTS
Five (5) years experience in detail oriented work, developing efficient processes, quoting policies and interacting with high level executives.

SKILLS AND KNOWLEDGE
Demonstrates critical thinking skills in order to identify potential issues and alternative solutions. Exercises solid judgment and is consistent in application of solutions. Strong organizational/time management skills required. Must be able to coordinate multiple projects and assess priorities with a large workload in tight deadlines. Ability to follow through and bring "closure" on assigned responsibilities. Must have strong attention to detail as work product is legal contracts that may be tested by legal challenges/reviews. Must be able to project a professional, pleasant image while interacting with a variety of personalities. Shall demonstrate tact and diplomacy in interpersonal interactions. Must possess strong verbal and written communication skills, a customer service focus and respect for confidentiality. Ability to work effectively with physicians and non-physicians as various organizational levels. Responsive to client and candidate needs.






Essential Functions:


  • Oversees all aspects of Physician Services Employment Agreements (PSEA), related amendments and Carle Leadership Services Agreements (CLSA). Including initial requests, contract preparation, approval, signature process and delivery to legal department for archiving. Also includes Residency agreements, Carle Illinois College of Medicine shared employment agreements among others, including related amendments.
  • Create contracts based upon needs of key stakeholders, ensure contract is accurate, ensure contract adheres to policy, and routes contract through approval process. Maintain appropriate templates for multiple organizations, e.g. CPG vs. CWPG, and specialties. Notify Medical Staff Office of initial contracts so credentialing can begin, and also if a new candidate has declined an offer.
  • Engage with various key stakeholders (recruitment services, professional services, finance, legal, Human Resources, Medical Staff Office, Graduate Medical Education, Carle Illinois College of Medicine, BroMenn / Dyad Leadership, etc) to ensure information is gathered and entered into the contract with accuracy, and advise on appropriate contract template to be used.
  • Develop and utilize routing system for contract approvals. Includes daily checking of approval queue for leadership and other contract changes, and follow up with Dyads and Provider Compensation for changes and approval.
  • Maintain database of outstanding contracts and develop and maintain SharePoint site to share status with key individuals.
  • Initiate and complete process to transition physicians to evergreen contracts prior to expiration of initial contract. Notify Dyads of any relevant compensation information that could impact the decision to move to evergreen. Same process applies to renewal of PRN contracts.
  • Develop process to track contract provisions that may impact compensation changes that occur over time and communicate changes to physician compensation team, Human Resources and payroll.
  • Provides clear communication to stakeholders once contracts are completed and as appropriate throughout contracting process.
  • Act as point of contact for all physician contracting questions both from recruits and internal sources. Demonstrate a high level of organization required to initiate and track contract documents in progress. Direct questions from recruits to appropriate areas.
    • Accumulate and calculate monthly salary payments for physicians on PRN contracts. Assures payments are consistent with contracts currently in place. Submit pay amounts to Payroll timely according to semi-monthly payroll schedule.
    • Prepare monthly leadership hour report from data provided by Accounting. Distribute Dyad level segments to Dyad leadership for review.
    • Identify Salary Advances approved for payment, prepare documentation and secure signature(s). Submit to Payroll along with verified address for mailing checks.
    • Prepare and distribute detailed minutes for multiple weekly Recruiting and Compensation update meetings with CPG and CWPG leadership, documenting decisions reached and status of outstanding issues.
